Prerequisites

  • Your Pillar account must have the "Owner" permission

  • Your Workday account must have the "Admin" permission

How to Install

There are three steps to install the Workday integration:


Find your Workday Tenant & Web Services Endpoint

1) Log into your Workday account. Look at the address bar at the top of the browser window where the URL is displayed. Find your tenant immediately after workday.com/. Write this down.

2) From the search bar, go to the go to the Public Web Services report.

3) Find Human Resources and hover over it to be able to interact with the menu. Via the three-dots menu, go to Web Service and click on View SDL (note that the page may take a minute to fully load).

4) Search for wsdl:service in the file OR navigate directly to the very bottom of the page. You should see something like this:

Copy everything before service in the location attribute. In the example tenant above, this would be https://wd2-impl-services1.workday.com/ccx but it may be different for your tenant (e.g., https://wd5-services1.myworkday.com/ccx).


Set up an Integration System User

1) Log in to your Workday tenant in the Workday portal. In the Search field, search for “Create Integration System User”.

2) Choose the “Create Integration System User” task.

3) Enter a username and password in the Account Information section on the “Create Integration System User” page. Make sure to write these down, you'll need these when connecting Workday to Pillar.

4) Once created, you'll need to create a new Security Group for the user. In the Search field, search for “Create Security Group”. Select the “Create Security Group” task.

5) On the “Create Security Group” page, select “Integration System Security Group” from the Type of Tenanted Security Group pull-down menu. Enter a name in the Name field.

6) On the “Edit Integration System Security Group (Unconstrained)” page, enter the same name you used when creating the ISU in the first section. Click OK.

7) Edit the Domain Security Policy Permissions in the Security Group. Add the GET operations for the following required permissions for the ATS API:

  • Job Requisition Data (required)

  • Candidate Data (required)

  • Interview Schedule (required)

  • Offer details

  • Other Jobs

  • Other Information

    • Photo

    • Attachment

  • Personal Information

  • Job Application (required)

  • Jobs Requisitions (required)

  • Offer Details

  • Other Jobs

  • Person Data

  • Personal Data

    • Name

    • Citizenship Status

    • Date of Birth

    • Disabilities

    • Gender

    • Government IDs

    • ID Information

    • Marital Status

    • National ID Identification

    • Personal Information

    • Photo

  • Home Contact Information

    • Home Address

    • Home Email

    • Home Phone

  • Work Contact Information

    • Work Address

    • Work Email (required)

    • Work Phone

  • Pre-Hire Process Data (required)

8) After configuring the Security Group, in the Search bar, search for “Activate Pending Security Policy Changes”. Review the policies that need approval in the summary of the changes in the security policy. Approve the pending security policy changes for this Security Group to activate them.


Connect Workday to Pillar

1) Log in to Pillar, click on your user avatar in the top right corner of the page, and click My Profile

2) Navigate to the Standard ATS page on the left side of the page
Note - You must have "Owner"-level access in your Pillar Organization to access this page

3) Click "Install ATS Integration" button

4) Select Workday

5) Enter the Web Service Endpoint, Tenant, and Integration System User credentials into Pillar that you created from the previous steps.

Usage

Once the integration is installed, it's time for you to select the roles you'd like to sync with Pillar. Pillar will automatically join interviews for synced roles and scheduled via the ATS according to your organization's settings. There are two settings in Pillar for capturing interviews:

  • Import All - Pillar will join every interview scheduled through the ATS

  • Choose Jobs Individually - Specify which jobs Pillar should join

By default, Pillar will use the Choose roles individually setting when the integration is installed.

Once the correct roles are selected, they will populate into Pillar with a toggle next to each.

Note: toggling a role "on" activates Pillar's engagement with that role. This may include recording/transcribing interviews, as well as the activation of automated emails to candidates and interviewers, depending on your organization engagement.

How to Uninstall the integration

  1. Login to Pillar

  2. Click your avatar in the top right of the page and click My Profile

  3. Navigate to the Standard ATS Integration page

  4. Click "Uninstall ATS integration"
